How NurseScribe handles local notes, dictation, templates, corrections, QR export, and beta testing information.

NurseScribe is a local nursing note-prep and dictation app designed to help users create temporary notes, edit them, and transfer them for final review and charting. This Privacy Policy explains how NurseScribe handles information.

NurseScribe is not an electronic medical record, is not a charting system, and does not replace clinical judgment, official documentation, or any facility documentation requirements. Users are responsible for reviewing all note content before using it for charting or patient care documentation.

Information Stored Locally on the Device

NurseScribe may store the following information locally on the user’s device:

Notes and Protected Health Information

NurseScribe is intended to help users prepare temporary notes. Depending on how the user uses the app, notes may contain patient-related information or protected health information.

NurseScribe does not intentionally collect, store, or transmit note contents to NurseScribe servers. Notes are stored locally on the device and are automatically deleted according to the app’s retention settings.

Users should follow their employer’s policies, facility policies, HIPAA requirements, and applicable laws when using NurseScribe. Users should review all note content before charting and should not use NurseScribe as the official medical record.

Dictation and Speech Recognition

NurseScribe is designed to use on-device dictation/speech recognition. The app is intended to avoid sending dictated note content to NurseScribe servers.

Speech recognition results may be processed by Apple’s on-device speech recognition features and device operating system services. NurseScribe does not operate its own speech recognition server.

Users should avoid using non-NurseScribe keyboard dictation tools if their facility requires local-only dictation.

Templates, Custom Phrases, and Corrections

NurseScribe allows users to create and edit templates, template fields, custom phrases, and preferred replacements. These are stored locally on the device.

The Teach Correction feature allows users to save a misheard phrase and preferred replacement locally on the device. These corrections are used to improve future note drafting on that device.

QR Export

NurseScribe includes a QR export feature. QR export is user-controlled. When the user chooses to export a note by QR code, the note content is encoded into one or more QR codes displayed on the device screen.

Anyone or any system that scans the QR code may receive the note content. Users are responsible for making sure QR codes are only displayed and scanned in appropriate settings and in compliance with workplace policies.

Support Email and User-Submitted Information

If a user contacts NurseScribe by email, the user may provide information such as:

Users should not include protected health information, patient identifiers, or sensitive patient details in support emails or beta feedback.

Information sent by email may be used to respond to the request, troubleshoot issues, improve NurseScribe, and maintain records of support communications.

TestFlight Beta Testing

During beta testing through Apple TestFlight, Apple may collect and provide certain beta testing information to the developer, such as crash logs, usage information, and feedback submitted through TestFlight.

Beta testers should not include protected health information, patient identifiers, or sensitive patient details in TestFlight feedback, screenshots, crash descriptions, or support emails.

Face ID, Passcode, and App Lock

NurseScribe may use device security features such as Face ID, passcode, or local app lock features to help protect access to the app.

NurseScribe does not receive or store Face ID biometric data. Biometric authentication is handled by iOS and the user’s device.

Data Sharing

NurseScribe does not sell user data.

NurseScribe does not share note contents with third-party advertising networks.

NurseScribe does not operate cloud storage for user notes.

Data Retention

Notes are temporary and are stored locally on the device until deleted by the user or automatically deleted based on the app’s retention settings.

Custom templates, preferred replacements, custom speech phrases, and app settings may remain stored locally until the user deletes them, changes settings, deletes the app, or resets app data.

Support emails and beta feedback may be retained as needed to respond to requests, troubleshoot issues, improve the app, and maintain business records.

Data Security

NurseScribe is designed to reduce privacy risk by keeping note content local to the device and avoiding NurseScribe-operated cloud note storage.

No app can guarantee perfect security. Users should protect their devices with passcodes, device lock features, and workplace-approved security practices.

Children’s Privacy

NurseScribe is intended for use by healthcare professionals and is not directed to children.

Changes to This Privacy Policy

This Privacy Policy may be updated as NurseScribe changes. The updated policy will be posted on the NurseScribe website with a revised effective date.
